What late invoices cost your firm.Paste your list. See the cost of waiting.

Paste your open invoices from QuickBooks, Xero, BQE Core or a spreadsheet. The calculator sorts them by how late they are, puts a number on what the wait costs in interest and staff time, and tells you the next step for each one.

1. Your invoice list

One invoice per line. Columns: client, invoice number, amount, due date. Copy straight from a spreadsheet or an accounts receivable (AR) aging export.

2. Your numbers

3. What it costs

Paste your list and press Calculate, or load the example.

What happens to your data

The list stays in this browser tab. Close the tab and it is gone. Nothing is saved or uploaded.

Keep this result

Copy it or download it as a text file. Both stay on your device.

Or email it to yourself

This sends the totals and aging buckets only. Client names and invoice numbers are not sent. We use your email to send this result. How we handle what you send is on the privacy page.

How the math works.Three numbers, all from your own inputs.

Days late

The check date minus the due date. Invoices not yet due count as current.

Cost of the wait so far

Amount times your yearly rate times days late, divided by 365. It is the interest on money your firm has earned but not received.

Cost of 30 more days

Another 30 days of interest on everything overdue, plus the chasing time at your hourly cost if you entered one.

These are estimates. They leave out what is hardest to price: an invoice that is never paid, and the strain on the client relationship. Aging buckets (current, 1 to 30, 31 to 60, 61 to 90, over 90 days) follow the standard AR aging report your accounting software already makes.

Is my invoice list uploaded anywhere?

No. The math runs in your browser. Nothing you paste leaves this page. If you use the email box, only the totals are sent, not client names or invoice numbers.

What rate should I use?

Use what money costs your firm: the interest rate on your line of credit or loan, or what the cash would earn if you had it. The 10% filled in is an example, not a benchmark.

Why count the time spent chasing?

Every late invoice takes someone's time: checking the account, writing the reminder, calling. Put in your own minutes and hourly cost. Leave the hourly cost empty to skip it.

What columns does it read?

Client, invoice number, amount and due date, in any order, if the first row has headers. Without headers it guesses from the values. A Paid or Status column is used to skip paid invoices.

Does it give legal or collections advice?

No. The next step for each invoice is an admin suggestion based on how late it is. Check your contract for late-payment and stop-work terms, and ask your attorney before any formal action.
